Audits are independent reviews of a company's records, processes, and procedures to make sure that the company is complying with best practices, regulations, and policies. They act as a second pair of eyes that can help the company find new opportunities to improve. When you are about to carry out an audit, opening meetings play an essential role in setting the tone for the actual audit.
However, many certification bodies and internal/external auditors do not conduct effective audit opening meetings. It is not uncommon to witness auditors conducting management system audits and not paying much attention to this important element. They simply rush into the auditing of the management system(s) without setting the tone for the audit in a positive manner.
The audit opening meeting is one of the most important events and a valuable part of the audit process, and therefore, it must be handled with the utmost precision in terms of its conduct.
The main purpose of the opening meeting is to discuss the audit plan and arrangements needed for a smooth audit process. It introduces, possibly for the first time, real live representatives of the auditor company, and can set the scene for the audit and all future dealings with the client. It also provides the auditor(s) an opportunity to set a friendly and collaborative tone for the audit and begin building positive rapport with the auditees.
As mentioned, audits can be nerve-racking and uncomfortable especially for the auditees, so an effective opening meeting will help remove their anxiety and put the auditee organization (client) at ease.
