The Workforce & Capacity Planning Model answers a question services and trades businesses routinely get wrong: do we need to hire, or can we work through the peak with the crew we have? It converts a monthly revenue forecast into labour demand and compares it against real productive capacity, then quantifies the gap and the cheapest way to close it.

What it does: it turns each month's revenue forecast into required labour hours, and sets that against the productive capacity of the current crew after leave and non-billable time are stripped out. Where demand exceeds supply, it shows how much of the gap overtime can absorb – at a premium, up to a policy cap – and how many additional full-time equivalents you must hire, and by when, given your hiring lead time. So instead of a vague sense that the team is stretched, you get a month-by-month FTE gap and dated hiring triggers.

Main features: a 12-month demand-versus-supply capacity plan; revenue converted to labour hours; current-crew productive capacity after leave and non-billable time; overtime absorption at a premium up to a cap; the FTE gap with hire-by dates driven off lead time; and a dashboard summary. 338 live formulas, recalc-verified with zero formula errors.

How to work with it: edit only the blue input cells; the yellow-filled cells are the key drivers. A worked example is preloaded – an 18-FTE trades firm with a seasonal peak that forces an overtime-versus-hire decision – so you can see the logic before entering your own numbers.
