This is an excellent role play activity to take the participants through a simulation exercise of Quotation Process to identify office wastes.
Typical roles:
Customer (C) – who wants a quote
Sales Person (SP) – attends to customer requirements / phones
Sales Administrator (SA) – keeps track of the entire process
Sales Manager (SM) – Takes care of the overall sales process
Estimator (E) – Estimates material and labour requirements
Cost Estimator (CE) – Adds cost to Estimator 1 calculations and checks for accuracy
Management Accountant (MA) – does job costing and ensures that the company makes a profit (planned & actual)
Project Manager (PM) – takes care of customer projects
General Manager (GM) – approves the quotes
Planner (P) – keeps track of the cycle times and lead time

Print the slides of each role as visual aids and ask for volunteers to take up these roles. Explain the activity and and conduct 3 rounds of the same.
The 1st round is "business as usual"...
The 2nd round is after the participants have identified "non-value adding wastes:
The 3rd round is after the participants have introduced flow in to the process.
Each time, note the total time taken for generating a quote. You should see a remarkable decrease in he time taken at the end of round 3.

Participants will gain hands-on experience in identifying and eliminating office wastes through a structured role-play exercise. The simulation emphasizes practical application, with roles such as Sales Person, Estimator, and Project Manager, each contributing to the overall process. Detailed scenarios and step-by-step instructions ensure a comprehensive understanding of the quotation process. The game is designed to highlight inefficiencies and drive continuous improvement, making it an invaluable tool for fostering a lean culture within your organization.
