Construction Contract, Change-Order, Progress-Billing & Retainage Control Tower supports a single-contract payment-review workflow in Microsoft Excel. Contract administrators, billing preparers and finance reviewers can connect approved contract changes, cumulative work, verified stored materials, retainage and current billing to the underlying records.
Six linked source registers hold the schedule of values, change orders, progress records, application controls, stored-material records and release requests. Approved changes dated within the selected cutoff adjust the contract value. Pending and disputed proposals remain separate exposures. Progress records distinguish completed work from closing stored balances, while the stored-material bridge compares opening balances, receipts, installed transfers and surveyed closing quantities without counting installed materials twice.
The control views calculate withholding, cumulative authorized release, net earned, prior certified earnings, current payment due and the difference from recorded billing. Certificates represent earned amounts rather than cash receipts. The executive view presents the current application and a native payment-minus-billing waterfall. A passing comparison supports arithmetic review; it does not itself authorize payment or replace the contract administrator's evidence and approval process.
The workbook contains 1,206 fictional demonstration records: 200 schedule items, 200 change orders, 400 progress records, 400 stored-material records, three application rows and three release rows. This is the supplied fixed capacity. Ordinary loading replaces existing editable source rows. Additional rows or periods require a controlled extension of the matching source, calculation and validation tables, followed by reconciliation. Unlimited automatic expansion is not included.
The sample application ends on 30 September 2026. Its adjusted contract is $4,025,100.00, completed and stored value is $701,000.00, retainage held is $70,000.00, and current payment due and recorded billing are each $157,825.00. These are fictional example amounts, not a client result or financial forecast.
The Flevy delivery contains the Excel workbook, an implementation guide, a quick-start guide and a fillable cutover and payment-review sign-off PDF. All six linked fictional source registers are already present in the workbook. The three PDF guides are supplied in one secondary ZIP. A separate sample CSV is not included with this Flevy offer; setup uses the workbook's editable source rows. The guides cover onboarding, ownership, source approvals, exception resolution and review. Use Microsoft Excel desktop on Windows; other spreadsheet applications are unvalidated. Amounts are USD excluding tax. The template does not reproduce a licensed payment certificate or calculate tax. Implementation, customization and continuing support services are not included.
