The Underwriting Decision and Approval Conditions Tracker is a professional workflow and documentation system designed for merchant underwriting, payments risk, fintech operations, and acquiring teams that need a structured way to record decisions, manage approval requirements, and monitor underwriting exceptions.
The workbook combines three connected operational functions: decision tracking, approval-condition management, and exception documentation.
The Decision Tracker maintains a centralized record for each merchant underwriting case, including case ID, merchant name, analyst, reviewer, submitted date, decision date, turnaround time, risk rating, requested processing volume, ticket sizes, fulfillment timing, final decision, reserve requirements, processing limits, open conditions, exception requirements, escalation requirements, decision rationale, and notes.
Days to Decision are calculated automatically, providing a consistent way to monitor underwriting turnaround time and identify aging or unresolved cases.
The Approval Conditions Log provides a structured framework for managing underwriting requirements associated with approvals or conditional approvals. Users can document the condition type, requirement, timing, owner, status, due date, satisfaction date, supporting evidence, and resolution notes. This can help teams monitor requirements that must be completed before approval, before activation, or after approval.
The Exceptions Log supports documentation of policy deviations or approved exceptions. It captures the policy area, requested exception, underlying risk rationale, mitigating controls, approval authority, status, decision date, and expiration date. This creates a clearer record of why an exception was requested and what controls were used to support the final decision.
A management Dashboard summarizes total cases, approval rate, pending cases, average days to decision, open approval conditions, active exceptions, decision mix, risk-rating distribution, and analyst activity. Fictional demonstration data is included so users can immediately see how the system works before replacing the sample records with their own underwriting cases.
Configurable workflow settings allow organizations to define their own decision-aging warnings, condition due-soon windows, and related operating thresholds.
This workbook is intentionally policy-neutral. It does not prescribe approval criteria, reserve requirements, prohibited-business rules, risk appetite, or exception authority. Organizations should adapt the workflow, thresholds, statuses, conditions, and approval structure to their own underwriting policies, processor requirements, regulatory obligations, and operational standards.
This resource is intended as an underwriting operations and decision-support tool and does not constitute legal, compliance, regulatory, or underwriting advice.
