The Merchant Periodic Review and Monitoring Tracker is a professional risk-operations system designed to help payment processors, fintech companies, merchant acquirers, payment facilitators, ISOs, and underwriting teams manage ongoing merchant review activity after initial approval.
The workbook provides a structured framework for maintaining periodic review schedules, monitoring merchant performance, documenting emerging risk events, and identifying accounts that require follow-up or escalation.
The Merchant Review Tracker maintains a centralized record for each merchant, including risk rating, review owner, review frequency, last and next review dates, annual card and ACH volume, chargeback rate, refund rate, ACH return rate, fulfillment timing, reserve balance, financial-review dates, banking-verification dates, and open monitoring events.
Review dates are automatically calculated based on the assigned review cadence. Merchants are then categorized as Current, Due Soon, or Overdue, helping teams prioritize review workload without relying on manual calendar tracking.
A dedicated Monitoring Events Log provides a structured way to document material changes or risk developments such as volume spikes, chargeback deterioration, refund trends, ACH return issues, banking changes, documentation gaps, fulfillment exposure, and other events requiring investigation or follow-up. Each event can be assigned a severity, owner, status, due date, and resolution record.
The workbook also includes a reusable Periodic Review Checklist covering key areas such as merchant profile validation, financial and banking review, processing performance, ACH activity, fulfillment and future-delivery exposure, reserves and other mitigants, website and public-information review, prior monitoring events, and documentation quality.
A management Dashboard summarizes merchant count, reviews due soon, overdue reviews, high- and critical-risk merchants, open monitoring events, review status distribution, risk-rating mix, and reviewer workload. Fictional demonstration data is included so users can immediately see how the monitoring system functions before replacing the examples with their own portfolio information.
Monitoring thresholds and review frequencies are configurable, allowing organizations to adapt the workbook to their own policies and risk appetite.
