Outsourcing business cases are usually won on labour arbitrage and lost on the retained organisation nobody costed. Most compare a provider's fully loaded price with an internal cost that leaves out overhead, management time and rework – and then forget the cost of transition, parallel running, stranded overhead, the team needed to manage the provider, and the exit.
This toolkit treats make-versus-buy as a decision in four tests, in a deliberate order: strategic, capability, economics, reversibility. Organisations that start with the economics answer the wrong question precisely.
THE SEQUENCE THIS PACK IS BUILT ON
Strategic first: is the activity a source of advantage, or does it hold knowledge you cannot afford to lose? If so, stop. Capability second: an activity done badly in-house is a candidate whatever it costs – but a broken process outsourced is a broken process you now pay someone else to run. Economics third, with every cost on both sides. Reversibility last: the cheapest outsourcing contract is the one you can leave.
WHAT IS INCLUDED
Primary document – a 14-slide guide covering the four tests, the strategic screen of importance against capability, a complete make-versus-buy cost comparison and the costs most often missed, five BPO pricing models and how each fails, the contract clauses that keep outsourcing honest during the term and at exit, five things that break during transition, the retained organisation, and the path from question to signed contract.
Four Excel models, all unlocked with live formulas and a worked example:
Make-vs-Buy Strategic Screening Scorecard – twelve weighted criteria across strategy, process, market and risk, knock-out rules, process maturity check, group scores, a recommendation and a scoring guide for each criterion.
Outsourcing TCO and Business Case Model – five years of in-house cost (labour, overhead, management, rework, productivity trend) against outsourced cost (provider price with glide path and indexation, retained organisation, governance, residual errors, stranded overhead, transition, parallel running, severance, exit), with NPV, payback, the case without the glide path, and the price change needed to break even.
BPO Pricing Model Comparator – three transaction types weighted by complexity, priced under FTE, transaction and fixed-fee offers over five years in base, low and high volume scenarios, with cost per equivalent transaction and the productivity the FTE model leaves with the provider.
Outsourcing Risk and Reversibility Register – fourteen risks by phase with inherent and residual scores, and a weighted reversibility index that shows whether the decision can still be undone.
Four documents: a Process Readiness Checklist; a BPO RFP Structure and Evaluation Guide with due diligence and common evaluation mistakes; Outsourcing Contract Essentials covering service levels, glide path, indexation, benchmarking, staff transfer, data and exit; and a Retained Organisation and Governance Guide.
WHO IT IS FOR
Procurement leads sourcing business process outsourcing. Finance, HR and IT leaders considering outsourcing a function. Shared-services and transformation teams. Consultants preparing an outsourcing business case or an independent review of one.
WHAT THIS IS NOT
It contains no provider rate benchmarks and no country cost comparisons, which date quickly and depend on scope. It is not legal or employment advice: staff transfer and contract law vary by jurisdiction. It is a complete and honest way to decide, contract and transition.
