Short-Term Rental Property Management Financial Model

This Excel model is designed for professional short-term-rental property managers, co-hosting agencies and vacation-rental operators that manage third-party owner listings. It models the operating company rather than the purchase return of an individual rental property.

The workbook provides a 60-month monthly forecast with five annual summaries. It begins with an owner-acquisition funnel that converts owner leads into proposals, signed management agreements, onboarding activity and launched properties. The active-property roll-forward then incorporates new launches, property churn and suspensions. Occupancy, ADR, seasonality, average length of stay and available nights drive occupied nights, bookings and accommodation gross booking value.

Channel economics are modeled across Airbnb, Vrbo/other, Booking-style and direct bookings. Users can edit the direct-booking share, channel mix and platform or payment fees, including the workbook's editable Airbnb old-fee, new-fee and transition assumptions. Management-company revenue is calculated using a mix of percentage management contracts, hybrid percentage-plus-fixed contracts and fixed monthly contracts, together with onboarding fees and ancillary revenue.

The owner-settlement schedule bridges guest charges to owner remittance and distinguishes owner-borne channel deductions, manager-borne channel costs and retained cleaning economics. Cleaning is modeled from turnover demand rather than as a flat revenue percentage. Average stay length drives turnover volume; internal cleaner productivity, working days, starting FTE, target utilization and monthly hiring limits determine internal capacity, while outsourced turnovers cover overflow. Operations staffing separately scales guest support, owner-success and operations-management requirements with business activity.

The financial model includes operating expenses, working capital, owner-settlement balances, capex and depreciation, debt and interest, tax and equity distributions. These schedules feed integrated Profit & Loss, Balance Sheet and Cash Flow statements. A valuation sheet calculates unlevered free cash flow, terminal value, DCF enterprise and equity value, and an EBITDA-multiple cross-check.

Three operating scenarios are provided: Downside, Base and Upside. Scenario drivers include occupancy, ADR growth, onboarding, churn, direct-booking adoption, cleaning cost, owner acquisition CAC and G&A inflation. The model also contains five two-way sensitivity analyses covering ADR versus occupancy, onboarding versus churn, management fee versus retention, average stay versus cleaning cost, and direct-booking share versus channel-fee economics.

Three decision dashboards provide executive, property-economics, and channel-and-cleaning views. The workbook contains native Excel charts covering revenue and EBITDA, managed-property growth, cash and minimum liquidity, owner remittance versus service revenue, revenue and contribution per property, launches versus churn, owner payout percentage, channel mix, weighted channel fees, cleaning turnover sourcing and cleaning economics.

The final audited workbook contains 32 worksheets, centralized editable assumptions, populated illustrative sample data, model methodology and source references, internal audit and integrity checks, and defined print areas for every worksheet.
