When an organization desires to create a culture of improvement it must provide structure so that projects can be successfully executed and sustained.
The very first step in this structure is understanding the reasons why we need to complete a change / improvement project. This includes what we will achieve, when we will achieve it, and who will sponsor and execute this work. The key document to record this is a ''Project Charter''.
The Project Charter is a document created at the start of any continuous improvement project (Lean, 6 Sigma etc). It documents the business problem and why the business needs to solve it. It further details the benefits of doing so along with the team responsible.
All undertaken projects should use a standard template to support the identification of problems, scope, sponsorship and team roles. This document is key to creating the project definition. If using 6 Sigma this document is part of the 'Define' step. If using Lean, this document can be used at the start of any Kaizen activity.
This PowerPoint document template allows the team to define the project. It starts with the input from the Project Champion. Part of the Project Champion's role is to describe the business problems and conditions the project is currently facing and to provide solid direction for the activities that will occur. This is key for the project team to be successful.
From there the project team leader and team should complete the remaining slides. They should complete them together and be aligned. Once complete this should be approved by the Champion prior to the any project activity. The project team leader should also receive advice from a process owner and/or mentor and adjust the activity in the appropriate direction.
At the start of any project, this is a key document. It should be used to build consensus and understanding among the team before starting to solve the problem. This is achieved by identifying scope, the goal and how this will be measured.
