CashSignal is an editable Excel workbook for small businesses and finance teams that need a practical, weekly process for managing invoice collections and near-term liquidity. It connects outstanding customer invoices, expected receipt timing, planned cash payments, and projected cash balances in a single 13-week management view.
WHO IT IS FOR
CashSignal is designed for invoice-based businesses such as consultancies, agencies, contractors, and other professional services firms. It is also relevant to business owners, finance managers, and outsourced CFOs who maintain cash forecasts manually and want more structure than an isolated invoice tracker or a basic cash flow spreadsheet.
INVOICE AND COLLECTION CONTROL
Users can record customers, invoices, due dates, amounts collected, outstanding balances, expected receipt dates, payment promises, disputes, and follow-up information. The workbook provides a weekly collections review to help identify overdue balances and prioritize follow-up actions. Partial payments remain visible as outstanding receivables until fully settled.
Where historical paid-invoice information is available, collection timing can reflect observed customer payment behavior. Where that history is insufficient, the model uses configurable assumptions rather than treating every contractual due date as a certain cash receipt. Forecasts are estimates, not guarantees.
An invoice placed on Hold remains within outstanding receivables while the related expected receipt is excluded from the cash forecast. The workbook distinguishes legitimately withheld receipts from missing-data errors.
13-WEEK CASH FLOW FORECAST
The 13-Week Cash view combines expected customer receipts with planned cash outflows to project opening and closing cash positions by week. Users can define a minimum operating cash buffer and identify weeks in which projected cash may fall below that threshold. Buffer gap represents a shortfall below the threshold, while headroom represents the remaining amount above it.
LIQUIDITY STRESS TEST
Users can explore a collection haircut, a one-week delay in receipts, and higher cash outflows. These simplified scenarios are designed to support discussion of cash pressure and potential management actions. They are illustrative sensitivity tests, not probability-weighted forecasts.
WORKBOOK CONTENTS
The product package includes a clean customer workbook, a worked example using fictional customers, invoices, and cash commitments, and guidance for setup and weekly use. Built-in data-quality checks help flag missing information, duplicate invoice identifiers, and inconsistent payment entries before management relies on the numbers.
HOW TO USE
Start by entering the review date, opening cash balance, minimum cash buffer, customer records, and invoice details. Add expected payments, review the 13-week projection, check warnings, and use the weekly review and stress test to determine collection and cash-management priorities.
IMPORTANT LIMITATIONS
CashSignal is a manually maintained Excel decision-support tool. It does not connect to bank accounts or accounting systems, send automated collection emails, guarantee payment, or replace professional accounting, tax, legal, or financial advice. Outputs depend on accurate inputs and management assumptions. No subscription, macro, or external account connection is required for the workbook's intended workflow.
