Most businesses who implement lean manufacturing fail to achieve the full benefit of this strategy because the office and administration areas are not included in any kaizen \/ continuous improvement activities.<\/p>\n<p>If you think lean is about the factory floor only, then remember that typically 60% to 80% of all costs associated with a product line are non-production costs.<\/p>\n<p>A couple of examples to highlight the wastes in the office areas&#8230;<\/p>\n<ol>\n<li><strong>An industrial air handling units manufacturing company<\/strong> \u2013 the quotation process used to take 4 weeks and had 55 steps and what this meant was losing valuable customer orders to competition. After a brief introduction on value &amp; waste and process mapping, I asked them to list all the 55 steps on sticky notes. Upon challenging every step and classifying those steps as 1) value Adding (green), 2) Non-Value adding (red) and 3) Non-Value Adding but required (orange), the team ended up with roughly 50% of the steps which fell in to green and orange categories. What this meant was that, the no of steps reduced to 30 and the time in quotation processing reduced to 2 weeks!<\/li>\n<\/ol>\n<ol start=\"2\">\n<li><strong>A Printing Company <\/strong>\u2013 From the time a customer order was received and until it was converted in to a production order and passed on to manufacturing, they had 32 steps.<\/li>\n<\/ol>\n<p>A similar process as above, reduced the number of steps to 18 and time halved!<\/p>\n<p>Also, how many times have you searched for a saved file on your computer and how long did it take to find it? Can we manager our e-records better? The answer is &#8220;Yes!&#8221;<\/p>\n<p>It is all about learning how to stabilize, standardize, and simplify administrative processes using the power of the Toyota Production System (TPS).<\/p>\n<p>So, what is a Lean Office?<\/p>\n<ul>\n<li>Processes are controlled<\/li>\n<li>Processes are standardized<\/li>\n<li>Processes are improved upon<\/li>\n<li>Processes are made as visual as possible<\/li>\n<li>5S is practiced!<\/li>\n<\/ul>\n<p>Let\u2019s understand what the wastes are in an office environment.<\/p>\n<ol>\n<li><strong>Overproduction<\/strong> \u2013 producing work prior to it being required is waste and is the greatest of all the wastes<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Producing reports no one reads or needs<\/li>\n<li>\u00a0Making extra copies<\/li>\n<li>\u00a0E-mailing, faxing same document<\/li>\n<li>\u00a0Entering repetitive information on multiple documents<\/li>\n<li>\u00a0Ineffective meetings<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"2\">\n<li><strong>Waiting<\/strong> \u2013 for people, signatures, and information is waste.\u00a0 This is \u201clow hanging fruit\u201d which is easy to reach and ripe for the taking.<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Excessive signatures or approvals<\/li>\n<li>\u00a0Dependency of others to complete tasks<\/li>\n<li>\u00a0Delays in receiving information<\/li>\n<li>\u00a0Computer program revision problems<\/li>\n<li>\u00a0Cross-departmental resource commitments<\/li>\n<li>\u00a0Not a priority for someone to complete<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"3\">\n<li><strong>Motion<\/strong> &#8211; any movement of people, paper, electronic exchanges that does not add value is waste<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Searching for computer files<\/li>\n<li>\u00a0Searching for documents in file cabinets<\/li>\n<li>\u00a0Repeatedly\u00a0 reviewing manuals for information<\/li>\n<li>\u00a0Hand carrying paper to another process<\/li>\n<li>\u00a0Cross-departmental resource commitments<\/li>\n<li>\u00a0\u00a0Not a priority for someone to complete<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"4\">\n<li><strong>Transport<\/strong> &#8211; affects the time of delivery of any work within an office<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Delivering unneeded documents<\/li>\n<li>\u00a0Excessive filing of work documents<\/li>\n<li>\u00a0Over-addressed email distribution lists<\/li>\n<li>\u00a0Hand-carrying paper to another process<\/li>\n<li>\u00a0Cross-departmental resource commitments<\/li>\n<li>\u00a0Mis-prioritization<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"5\">\n<li><strong>Excessive processing<\/strong> &#8211; putting more work or effort into the work required by internal or external customers is waste<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Duplicative reports or information<\/li>\n<li>\u00a0Repetitive data entry<\/li>\n<li>\u00a0Incorrect information being shared<\/li>\n<li>\u00a0Constantly revising documents<\/li>\n<li>\u00a0Ineffective meetings and no agendas<\/li>\n<li>\u00a0Duplicative documentation<\/li>\n<li>\u00a0Lack of accurate project planning<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"6\">\n<li><strong>Inventory<\/strong> (Time) &#8211; work piles, excessive supplies, and excessive signature requirements are waste<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Files awaiting signatures or approvals<\/li>\n<li>\u00a0Work awaiting task completion by others<\/li>\n<li>\u00a0Obsolete files<\/li>\n<li>\u00a0Obsolete office equipment<\/li>\n<li>\u00a0Not sufficient training of back-ups<\/li>\n<li>\u00a0Purchasing excessive office supplies.<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"7\">\n<li><strong>Defects <\/strong>(or Mistakes) &#8211; refers to all processing required creating a defect or mistake and the additional work required to correct it<\/li>\n<\/ol>\n<ul>\n<ul>\n<li>Data entry errors<\/li>\n<li>\u00a0Pricing errors<\/li>\n<li>\u00a0Forwarding incomplete documentation<\/li>\n<li>\u00a0Incorrect information on document<\/li>\n<li>\u00a0\u00a0Inefficient file system on PC or in cabinet<\/li>\n<li>\u00a0Not appropriate staffing to service customer<\/li>\n<\/ul>\n<\/ul>\n<ol start=\"8\">\n<li><strong>Underutilization of People<\/strong> &#8211;
