approach, office activities must fully support shop-floor manufacturing operations to eliminate waste as a means to improve productivity.<\/p>\n<p>The office, by any name, is a paperwork factory. \u00a0The adoption of 5S principles throughout all office and administrative functions is the first step to increase efficiency.<\/p>\n<p>In developing a culture of continuous improvement, the 5S is like a mirror reflecting our attitudes and behavioral patterns during the transformation process.<\/p>\n<p>5S is a basic management philosophy for eliminating waste and improving workplace organization and standardization.\u00a05S serves as the foundation for continuous improvement activities and on which other Lean methodologies can be applied. \u00a0It is also one of the cornerstones of employee engagement.<\/p>\n<p>Although 5S concepts are simple and easy to understand, many organizations have failed in the implementation process.\u00a0This is because 5S is often misunderstood as a thorough spring cleaning program.\u00a05S, however, is more than just a housekeeping program &#8211; it is a method for workplace organization and productivity improvement.<\/p>\n<p>The benefits of 5S implementation are reduced mistakes or errors from employees, reduced search time in locating files, information and supplies, improved employee safety and morale, and improved customer service.<\/p>\n<p>5S comes from the first letters of five Japanese words, namely,\u00a0<i>Seiri, Seiton, Seiso, Seiketsu\u00a0<\/i>and\u00a0<i>Shitsuke<\/i>. \u00a0Translated to its English equivalent, 5S means: Sort, Set In Order, Shine, Standardize and Sustain.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-1984\" src=\"https:\/\/flevy.com\/blog\/wp-content\/uploads\/2015\/09\/5S-Principles.png\" alt=\"5S Principles\" width=\"320\" height=\"318\" Shine are the basic pillars of 5S. \u00a0They form the core of the 5S program and have to become a part of every employee&#8217;s day-to-day activities.\u00a0The fourth and fifth S&#8217;s are to support the implementation of the first three S&#8217;s.<\/p>\n<p>Let us take a closer look at each of the 5S principles:<\/p>\n<h2><b>Sort<\/b><\/h2>\n<p>Sort means to distinguish between the necessary and unnecessary, and get rid of what you do not need.<\/p>\n<p>Go through all the desks, shelves, cabinets, files, equipment, storage areas, etc. in the office and discard unnecessary items.<\/p>\n<p>Keep only the essential items.\u00a0Things that are frequently used should be stored near the workstation, and things that are seldom used should be stored further away.<\/p>\n<h2>Set In Order<\/h2>\n<p>Set In Order means to arrange essential items in order for easy access. \u00a0The focus is on functional storage and eliminating the need to look for things.<\/p>\n<p>All items should be arranged for easy access. \u00a0A good system is one which an item can be found in less than 30 seconds.\u00a0There must be a place for everything, and everything should be in its place after use.<\/p>\n<p>The following are some practice tips for Set In Order:<\/p>\n<ul>\n<li>Remove old and obsolete information on notice boards, intranet\u00a0and the shared drive.<\/li>\n<\/ul>\n<ul>\n<li>Archive electronic files.<\/li>\n<\/ul>\n<ul>\n<li>Install cabinets for storing cleaning supplies and materials used occasionally.<\/li>\n<\/ul>\n<ul>\n<li>Label or mark off all storage areas.<\/li>\n<\/ul>\n<ul>\n<li>Define filing standards.<\/li>\n<\/ul>\n<ul>\n<li>Align workstations in order that work is done.<\/li>\n<\/ul>\n<ul>\n<li>Ensure that the latest version of work instructions and job aids are posted.<\/li>\n<\/ul>\n<ul>\n<li>Remove hazards such as materials blocking corridors, doorways and stairways.<\/li>\n<\/ul>\n<h2><span style=\"font-weight: bold;\"><b>Shine<\/b><\/span><\/h2>\n<p>Shine means to keep things clean and tidy. \u00a0It should be understood that cleaning is a form of inspection.<\/p>\n<p>Practice tips for Shine include:<\/p>\n<ul>\n<li>Divide office areas into zones and assign accountabilities.<\/li>\n<\/ul>\n<ul>\n<li>Obtain appropriate tools and supplies for cleaning.<\/li>\n<\/ul>\n<ul>\n<li>Inspect equipment and tools while cleaning.<\/li>\n<\/ul>\n<ul>\n<li>Repair faulty equipment, e.g. creaking office chairs.<\/li>\n<\/ul>\n<ul>\n<li>Clean your computer keyboard regularly by dusting off crumbs and cleaning with an appropriate disinfectant.<\/li>\n<\/ul>\n<h2><strong>Standardize<\/strong><\/h2>\n<p>Standardize means to establish standards and guidelines to maintain an organized office.\u00a0The focus is on standardization and application of visual management tools such as colored labels and sign boards.<\/p>\n<p>Practice tips for Standardize include:<\/p>\n<ul>\n<li>Set in place rules and policies that support the first three S&#8217;s, e.g. designated areas, proper labeling of storage areas, a log of what goes where, etc.<\/li>\n<\/ul>\n<ul>\n<li>Define a schedule for 5S activities and make it a part of the work routine.<\/li>\n<\/ul>\n<ul>\n<li>Put in place an emergency plan for fires, medical emergencies and natural disasters.<\/li>\n<\/ul>\n<ul>\n<li>Install automated external defibrillators (AED).<\/li>\n<\/ul>\n<ul>\n<li>Train new employees on the 5S system.<\/li>\n<\/ul>\n<ul>\n<li>Put up a bulletin board to keep employees informed and aware of the 5S system and activities.<\/li>\n<\/ul>\n<ul>\n<li>Reward and recognize participation and achievement in the 5S program.<\/li>\n<\/ul>\n<h2><b>Sustain<\/b><\/h2>\n<p>Sustain means to make 5S a habit and teach others to adhere to established standards. \u00a0The focus is on habit formation and developing a disciplined office environment.<\/p>\n<p>Practice tips for Sustain include:<\/p>\n<ul>\n<li>Regular communication of the 5S program, e.g. monthly newsletters.<\/li>\n<\/ul>\n<ul>\n<li>Regular housekeeping on your computer hard drive.<\/li>\n<\/ul>\n<ul>\n<li>Hold all-together cleaning sessions.<\/li>\n<\/ul>\n<ul>\n<li>Conduct monthly 5S inspections and audits.<\/li>\n<\/ul>\n<ul>\n<li><i>Gemba<\/i>\u00a0walk by the CEO and\/or 5S steering committee members.<\/li>\n<\/ul>\n<ul>\n<li>Conduct monthly review by the 5S steering committee.<\/li>\n<\/ul>\n<ul>\n<li>Establish 5S standards and continuous improvement of the standards.<\/li>\n<\/ul>\n<ul>\n<li>Develop 5S manuals.<\/li>\n<\/ul>\n<ul>\n<li>Reward and recognize individuals and teams for good 5S practices.<\/li>\n<\/ul>\n<div class=\"aside\">Allan Ung has and the involvement of all staff.\u00a0Not only must sufficient resources, manpower, training and publicity be provided, the 5S program must be aligned to the company&#8217;s goals and
